Responsibilities
- Coordinate emergency travel, documentation, and service arrangements for at-risk women leaders, ensuring all case records are accurate, up to date, and securely maintained
- Manage travel logistics and event coordination for The Mothers’ Call, including registration, on-site execution, invoice processing, and schedule maintenance across multiple time zones
- Support comprehensive logistics for key events such as the Barefoot Walk, Regional Network Summit, and policy launches, including venue and vendor coordination, RSVP tracking, travel arrangements, shipping, and on-site operations
- Organize international travel, lodging, and visa assistance for movement co-leads, staff, and network members; create detailed itineraries and travel materials; adapt quickly to changes in plans
- Handle scheduling for team members and partners across various time zones; coordinate virtual meetings with interpretation as needed; draft agendas, record minutes, and follow up on action items
- Process payments for vendors, consultants, and expenses; track procurement, contracts, and financial records; maintain shared digital resources, contact databases, and monitoring data; assist with budget reviews
- Assist in implementing crisis response and preparedness initiatives, including coordinating case assessments, organizing consultant meetings, developing communication strategies, and monitoring progress
- Provide logistical and administrative support for virtual and in-person gatherings, training sessions, and global discussions, ensuring participant safety and confidentiality while managing cross-time zone scheduling and reporting
- Help document team procedures and best practices; collaborate with Finance on contracts, invoices, and fund transfers; maintain secure records for case management, monitoring, and evaluation
