About the Role
The Payroll Data Administrator is an entry-level individual contributor responsible for accurate, timely payroll execution. You follow established SOPs and checklists to perform data entry, document handling, and routine transactions across the pre-pay, run, and post-pay phases, building foundational country and systems knowledge as you go. In this entry-level role, you provide essential support to accurate, timely payroll delivery: you keep records audit-ready, meet your deadlines, and escalate exceptions early so issues are caught before they reach employees. You partner closely with senior colleagues who guide your development and own the more complex work, contributing to a reliable, high-accountability team environment.
Responsibilities
- Execute pre-pay, run, and post-pay steps using SOPs, checklists, and templates, handling data accurately and on time
- Enter standard inputs (timesheets, allowances, deductions) and validate source data against records
- Run predefined checks and reconcile basic variances, escalating anything outside your scope
- Create and maintain employee payroll records and evidence to audit standards
- Execute documented payroll processes and flag when documentation is out of date
- Maintain data confidentiality and basic compliance awareness (e.g., GDPR, POPIA, or Country equivalents)
- Support expense management and approvals, processing and routing items accurately and on time
- Perform routine data reconciliation, checking inputs and records against source data
- Manage mail and payroll correspondence, preparing, sending, and filing accurately
- Maintain payroll records, trackers, and status logs, and carry out general payroll support tasks under supervision
- Work effectively within the team, following guidance from senior colleagues and applying feedback
- Communicate progress and blockers clearly in team channels and updates
- Identify minor process gaps and suggest improvements
- Adopt AI-assisted tools and workflows as they are introduced, using them to work more accurately and efficiently, and share what you learn
