Responsibilities
- Assist in creating operational workflows and take charge of their execution.
- Serve as the initial contact for operational support, triaging requests, resolving issues independently when possible, and directing others as needed.
- Maintain administrative order for mailboxes, shared drives, and group permissions.
- Coordinate logistics for events such as company retreats, offsites, and partner events, including venue booking, travel arrangements, and related communications.
- Equip the team for optimal remote work by collaborating with Security and Tech to ensure home and coworking setups are effective, and hardware, software, and access are arranged.
- Handle routine invoice processing, coordinate contractor payments, and address expense inquiries with the accounting firm Impact Ops.
- Review credit card transactions, request receipts, and keep all records current.
- Ensure all payroll requirements are fulfilled.
- Support funder operations by tracking donations and grants, assisting in drafting funder reports, and ensuring timely updates.
- Manage end-to-end onboarding and offboarding processes, including checklists, account provisioning, welcome communications, and deactivation for staff, contractors, and fellows.
- Keep HR and finance tools, as well as employee and leave records, accurate and up to date.
- Oversee the daily management of the freelancer and volunteer network.
- Support hiring by scheduling and conducting initial screening calls to keep the process moving.
- Maintain trackers and the OKR/reporting rhythm, chasing inputs and ensuring weekly updates are sent out.
- Identify areas where time or money is being lost to address inefficiencies.
- Enforce tool and standard usage, including labeling and best practices, and collaborate with the security/tech team to establish standards the whole team follows.
Nice to Have
- Passionate about AI safety or governance.
- Experience supporting HR or people processes such as onboarding, offboarding, or leave administration.
- Experience with finance or payroll administration, including running payroll, processing invoices, or tracking expenses.
- Familiarity with open-source tools like OpenProject, Synology, or n8n, or willingness to learn them.
- Experience working in a think tank, nonprofit, academic, or fast-growing startup environment.
