Okanagan College is hiring an Operations and Portfolio Specialist - Arts and Sciences

Responsibilities

  • Supports the budget process by monitoring adherence to submission timelines and ensuring compliance with required formats and guidelines.
  • Tracks operating, special purpose, and new initiatives budgets, reviews programs and services, provides recommendations to the Dean, and implements follow-up actions.
  • Works with Financial Services to prepare the annual portfolio planning and budget process.
  • Tracks and manages capital budget expenditures and analyzes financial information impacting portfolio results.
  • Monitors departmental annual and capital budgets, collaborates with the Dean to set accountability for projections, and tracks expenditures within each budget.
  • Liaises with businesses, government agencies, community organizations, professional associations, and Program Advisory Committees to share program information.
  • Coordinates department accreditation requirements, including tracking deadlines, compiling reports, submitting documents, and arranging site visits.
  • Identifies financial needs, makes recommendations to the Dean, and ensures appropriate use of portfolio resources.
  • Provides financial information and analysis for portfolio statistics, reports, proposals, business plans, and confidential reports.
  • Investigates unusual transactions, ensures adherence to financial processes, assesses variance causes, and recommends corrective actions.
  • Generates purchase requests and payment vouchers related to program activities.
  • Coordinates and tracks workload for instructional employees within the portfolio.
  • Assists the Dean with complex, confidential, and sensitive staffing issues affecting the portfolio.
  • Helps plan and implement annual departmental class scheduling in consultation with department Chairs and the Registrar’s Office.
  • Coordinates office assignments for the portfolio in consultation with Regional Deans.
  • Assists in developing and updating annual and long-term plans.
  • Participates in OC committees and various ad hoc committees, teams, and task forces as appropriate.
  • Plans, coordinates, and implements courses, programs, and contracts according to the educational plan.
  • Works collaboratively with other institutions to coordinate and deliver specific programs.
  • Develops and maintains effective communication within the portfolio and with other departments, portfolios, centers, and the external community.
  • Assists with student recruitment strategies and activities.
  • Supports planning, implementation, and tracking of marketing strategies and activities for all program areas in the portfolio.
  • Promotes portfolio programs and services through marketing plans, personal contact, media, and other marketing activities.
  • Provides information about course offerings to OC Educational Advisors, prospective students, and senior secondary schools.
  • Provides replacement coverage for the Executive Assistant as required.

  • Hours of work are typically Monday to Friday, 8:30am-4:30pm. During the summer months (May-August), an alternate schedule of 8:00am to 4:00pm may be available.
