Earthjustice is hiring a Legal Assistant, General Counsel

About the Role

This role involves supporting legal projects, operations, contract lifecycle management, administrative tasks, and ongoing professional development, with percentage allocations serving as guidelines for effort distribution.

Responsibilities

  • Prepare, proofread, format, cite-check, assemble, and monitor documents for OGC projects and workflows, including filings, trainings, guidance, advice, and other materials.
  • Assist attorneys with reviewing documents and preparing productions.
  • Support management of attorney admissions, renewals, registrations, and related e-filing accounts.
  • Maintain internal team sites, intranet pages, and electronic or physical records according to team needs, organizational policies, and confidentiality standards.
  • Help create and sustain a repository for tracking legal advice, templates, and general guidance, and direct inquiries to appropriate attorneys.
  • Offer general office and operational assistance, such as responding to inbox inquiries, coordinating supplies and equipment, and supporting department workflows.
  • Aid in maintaining internal contract databases, including updates, document uploads, and initial contract reviews using approved templates and tools like generative AI.
  • Assist in developing a central repository for organizational and litigation program contracts.
  • Provide scheduling, calendar management, travel coordination, meeting support, and document creation/formatting for OGC attorneys and staff, including logistics for meetings, trainings, retreats, presentations, legal guidance, onboarding, and training coordination.
  • Process expense reimbursements, invoices, and other administrative documents.
  • Exercise discretion and uphold confidentiality for nonpublic, privileged, or sensitive information encountered during employment, disclosing only as permitted or required by law.
  • Actively engage in professional development and foster a learning culture by enhancing skills and sharing knowledge.

Requirements

  • Bachelor’s degree or equivalent relevant experience.
  • Strong organizational, proofreading, research, administrative, and computer skills, with proficiency in Microsoft Office Suite, Adobe Acrobat, databases, spreadsheets, videoconferencing platforms, and legal filing systems, and keen attention to detail.
  • Ability to organize, prioritize, and handle multiple tasks while meeting deadlines and maintaining accuracy under pressure.
  • Sound judgment, professionalism, discretion, and capability to safeguard confidential and sensitive information.
  • Excellent written and verbal communication abilities.
  • Capacity to work both independently and collaboratively with staff across various offices and time zones.
  • Flexibility, punctuality, high reliability, and willingness to undertake tasks from substantive legal support to administrative duties.
  • Demonstrated alignment with values of Justice, Excellence, Inclusion, and Partnership.

Nice to Have

  • Two or more years of experience as a litigation assistant, legal practice assistant, paralegal, executive assistant, confidential employee, or in a similar professional role is preferred.
  • Familiarity with contract review and experience using Contract Lifecycle Management or Generative AI contract review tools is a significant advantage.

Compensation

Competitive salary and comprehensive benefits, with salaries based on location and experience. Annual ranges: San Francisco or New York: $76,400 - $84,900; Washington D.C., Chicago, Seattle, or Los Angeles: $72,600 - $80,700; Philadelphia or Denver: $68,900 - $76,500; Miami or Houston: $65,000 - $72,200; remote locations: $65,000 - $84,900 depending on specific location.

What You'll Do

  • Legal Project Support (15%): Prepare, proofread, format, cite-check, assemble, and track documents for OGC projects and workflows, assist with document review and production, and support attorney admissions and e-filing oversight.
  • OGC & Legal Operations File System Support (15%): Maintain internal team sites, intranet pages, and record repositories per requirements and policies, help build and maintain repositories for legal advice and templates, and provide general office support.
  • Contract Lifecycle Management Support (35%): Support upkeep of internal contract databases, including document uploads and preliminary reviews using templates and AI tools, and help build a central contract repository.
  • Administrative Support (30%): Provide scheduling, calendar management, travel coordination, meeting support, document creation/formatting, process expenses and invoices, and maintain confidentiality for sensitive information.
  • Ongoing Learning (5%): Pursue professional development and contribute to a learning culture by building skills and sharing knowledge, with percentages as guidelines and other duties possible.

What You'll Bring

  • Bachelor’s degree or equivalent experience; preferred two or more years in roles like litigation assistant, paralegal, or executive assistant.
  • Strong organizational, proofreading, research, administrative, and computer skills with proficiency in Microsoft Office, Adobe Acrobat, databases, spreadsheets, videoconferencing, and legal filing systems, and attention to detail.
  • Ability to manage multiple assignments, meet deadlines, and maintain accuracy under pressure.
  • Good judgment, professionalism, discretion, and ability to handle confidential information.
  • Excellent written and verbal communication skills.
  • Preferred knowledge of contract review and experience with Contract Lifecycle Management or Generative AI tools.
