Responsibilities
- Offer administrative and operational support to legal professionals and team members.
- Handle the initiation and closure of new legal matters, including conflict searches, client engagement documentation, and file setup.
- Draft, format, proofread, and revise legal documents and court submissions, including tables of contents and authorities.
- Submit filings to state, federal, and appellate courts via electronic platforms such as File & ServeXpress.
- Interact with court staff to clarify procedural requirements, rules, and scheduling deadlines.
- Process incoming mail, legal notices, and coordinate document dissemination.
- Organize and update electronic and client files using the firm’s document management system.
- Track and maintain case calendars for hearings, depositions, mediations, and key deadlines; distribute daily and weekly appearance schedules.
- Record attorney time entries and provide support for billing processes, client budget tracking, and billing questions.
- Create expense reports and assist with travel logistics for legal staff.
- Process vendor invoices, employee reimbursements, and check requests.
- Respond to client billing inquiries and support budget management, billing appeals, and collections efforts.
- Contribute to special projects and operational improvements as assigned.
