Culina Group is hiring a Fleet Administrator

Responsibilities

  • Maintain and update data in the tachograph system to ensure accurate fleet tracking.
  • Monitor and manage all fleet maintenance records and Operator Licence compliance documentation.
  • Validate the department’s VOR/Service board daily and report any potential service delays to the relevant licence holder(s).
  • Enter and track driver holiday and sickness absences while managing the TruTac system.
  • Ensure all defect and service reports are correctly recorded and stored according to company standards.
  • Manage the onboarding and decommissioning of fleet vehicles, ensuring all systems and records are accurately updated.
  • Regularly update and verify data within the Working Time Directive (WTD) system for compliance.
  • Generate and distribute daily reports to the Transport team highlighting unrecorded mileage.
  • Administer electronic toll tag accounts, including DART, Severn, and M6 Toll, with monthly usage reviews and misuse reporting.
  • Conduct audits of tag equipment to confirm asset locations match recorded data.
  • Compile and oversee the Driver Card and Vehicle Upload Report, documenting any procedural non-compliance.
  • Manage inventory and ordering of all fleet-related impress stock.
  • Receive and monitor fuel deliveries, maintaining the integrity of the fuel tracking system.
  • Produce and deliver various reports and spreadsheets to internal departments as required.
  • Maintain organized records and archives for all fleet-related documentation.
