Responsibilities
- Independently handle the Country Manager's dynamic calendar, resolving scheduling conflicts with minimal supervision.
- Coordinate communications between the Country Manager and stakeholders across multiple platforms to enable faster decision-making.
- Design and edit visually compelling presentations that match the leader's messaging and corporate branding.
- Prepare, coordinate, and moderate meetings hosted by L-team and XL-team, including the APJ Country Manager, as well as other internal or external meetings as requested.
- Take meeting minutes and assist leaders in tracking action items to ensure timely follow-up.
- Arrange domestic and international travel logistics and maintain precise expense reconciliation in strict compliance with company policies.
- Handle highly sensitive and confidential information with utmost integrity and discretion.
- Manage office access and guest cards through designated systems, and establish and maintain regional guidelines for visitor protocols.
- Oversee office operations in Tokyo, including mail handling, ticketing, local purchasing, snacks, amenities, and health and safety processes.
- Provide general office assistance and manage urgent tasks as needed.
- Manage vendors and projects related to the office.
- Process office-related invoices and manage budgets in alignment with the global office team.
- Plan and support local and global events, handle catering logistics, and assist with event bookings (e.g., 'Speak Easy', monitor catering partners).
- Actively champion and amplify company initiatives, regional milestones, and team achievements across internal and external channels, fostering visibility and inclusion of global programs.
- Manage and resolve office-related requests submitted through Jira, ensuring timely resolution and updates.
- Collaborate with the global office team, local IT, and P&C team to manage off-site and on-site logistics.
