Responsibilities
- Manage complex calendars and schedule meetings across multiple time zones
- Coordinate travel arrangements and prepare itineraries
- Prepare presentations, reports, and executive correspondence
- Handle confidential information with discretion
- Serve as a point of contact between executives and internal teams
- Organize and lead meeting logistics, including agendas and follow-ups
- Track action items and deadlines for executive initiatives
- Screen and respond to incoming communications
- Maintain filing systems and document workflows
- Support preparation for board meetings and executive reviews
- Assist with onboarding for new team members
- Coordinate internal and external events
- Manage expense reporting and financial documentation
- Ensure timely follow-up on executive requests
- Anticipate needs and proactively resolve scheduling conflicts
- Maintain up-to-date contact databases
- Support document version control and approvals
- Facilitate communication between departments
- Assist in project coordination when required
