About the Role
The Executive Support Specialist will play a crucial role in ensuring the smooth operation of the executive team's daily activities. This position involves managing complex schedules, coordinating high-level meetings, and handling sensitive information with discretion.
Responsibilities
- Manage and maintain executive calendars, scheduling appointments, and coordinating meetings.
- Prepare and edit documents, presentations, and reports for executive review.
- Coordinate domestic and international travel arrangements for executives.
- Screen and direct incoming calls and emails, ensuring timely and appropriate responses.
- Prepare expense reports and manage reimbursement processes.
- Organize and maintain filing systems, both physical and digital.
- Assist in the planning and execution of company events and conferences.
- Liaise with internal and external stakeholders to facilitate communication and information flow.
- Manage office supplies and equipment, ensuring adequate stock and functionality.
- Provide backup support to other administrative staff as needed.
- Handle confidential and sensitive information with discretion and professionalism.
- Prepare and distribute meeting agendas and minutes.
- Coordinate with IT department for technical support and troubleshooting.
- Assist in the preparation of board meeting materials.
- Manage and update executive contact lists and directories.
- Coordinate with human resources for onboarding and offboarding processes.
