Responsibilities
- Examine incoming Delivery Orders to determine specific shipping needs
- Create and input shipments correctly into the Transportation Management System
- Acknowledge receipt of orders by replying 'received, thank you' via email
- Include purchase order, booking, or master bill of lading numbers in email subject lines when applicable
- Copy relevant tracking and operations personnel on shipment communications
- Verify shipment details are correct before execution begins
- Ensure all shipments have confirmed coverage before pickup time
- Notify brokers of uncovered shipments at least two hours prior to pickup
- Track shipment status and communicate delays proactively
- Collaborate with internal teams on recovery vehicle arrangements
- Collaborate with internal teams on carrier substitutions
- Collaborate with internal teams on service disruptions
- Collaborate with internal teams on delayed pickups or deliveries
- Provide ongoing visibility and updates throughout the shipment journey
- Deliver daily estimated time of arrival updates for pickup and delivery appointments
- Include current truck location for loaded shipments
- Inform customers instantly when drivers arrive at shippers
- Inform customers instantly when drivers arrive at receivers
- Inform customers instantly when drivers leave shippers
- Inform customers instantly when drivers leave receivers
- Provide precise arrival and departure timestamps in all updates
- Notify customers when detention periods begin for over-the-road shipments after two hours on site
- Alert brokers immediately about delayed pickups
- Alert brokers immediately about delayed deliveries
- Alert brokers immediately about missed delivery or pickup appointments
