About the Role
The position is responsible for ensuring smooth regional operations in Japan through coordination of events, member support, and communication management, while working closely with local leaders and global teams.
Responsibilities
- Coordinate logistics for regional events and conferences
- Support local leadership teams with administrative tasks
- Manage communication flows between regional members and global offices
- Assist in onboarding new members and orientation processes
- Track membership data and maintain accurate records
- Facilitate scheduling for regional meetings and leadership calls
- Prepare materials and presentations for local events
- Monitor deadlines for programs and submissions
- Respond to member inquiries in a timely manner
- Translate communications when necessary
- Ensure brand and procedural consistency across regional activities
- Gather feedback from members for program improvement
- Support financial reporting and budget tracking
- Coordinate travel and accommodations for visiting leaders
- Maintain calendars for regional leadership
- Organize virtual meeting platforms for events
- Track action items from meetings and follow up on progress
- Distribute newsletters and regional updates
- Assist with crisis or issue escalation procedures
- Support diversity and inclusion initiatives locally
- Promote event participation and engagement
- Maintain resource libraries for members
- Ensure compliance with organizational policies
- Work across time zones to support global collaboration
- Escalate urgent matters to senior coordinators
