Responsibilities
- Keep the Minneapolis office, including common areas, kitchen, and canteen bar, fully functional, clean, and well-maintained.
- Provide virtual coverage for facilities in Bellevue during holidays or sickness to maintain consistent standards.
- Track and manage inventory of office supplies and equipment, such as printers and shred boxes.
- Handle office deliveries and daily mailings.
- Act as the primary contact for facilities and building management, liaise with external vendors, lead maintenance, compliance, and safety efforts, and serve as Safety Czar (Fire Captain).
- Use Kadence to manage desk reservations and permanent desk assignments.
- Oversee general office communications, including lunch menus, internal surveys, and digital overhead communication boards.
- Generate Si ID cards for new hires and visitors, coordinating with the Si Security Team for programming.
- Update content on the Siteimprove Intranet Site (Sintra) for the Minneapolis Office.
- Create expense reports.
- Coordinate and finalize visitor schedules, including communication and access preparations like badges and desk or office reservations.
- Organize and support in-office community and team-specific events, such as happy hours, anniversary celebrations, and global celebrations.
- Coordinate office events, meetings, and conferences, handling logistics, meeting room scheduling, and setup.
- Support seamless onboarding and offboarding by warmly welcoming new hires, assisting with IT and desk setup, distributing swag boxes, and retrieving equipment during terminations.
- Promote inclusive practices to help all employees feel connected.
- Foster cross-functional collaboration to align community-building with overall company goals.
- Assist with ad-hoc HR projects when needed.
Requirements
- Proven experience in office management, administration, or similar roles.

- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills for cross-team collaboration.
- Self-motivated and proactive, able to work independently and as part of a team.

- Based in the Minneapolis office, onsite Monday through Thursday from 8:30 AM to 2:00 PM.
Nice to Have
- Previous experience organizing and facilitating inclusive community events.

- Demonstrated commitment to continuous learning and staying current on office culture best practices.
- Experience in a fast-paced tech or SaaS environment.
- Knowledge of software tools for office management and event planning.

- Strong analytical skills to measure the effectiveness of DEI and community programs.
- First Aid Certification.
