Responsibilities
- Manage the handling of legal claims and disputes by preparing and evaluating pleadings, motions, correspondence, and internal summaries.
- Collaborate with legal and business units, as well as outside counsel, to develop strategies for responding to demands, mediations, arbitrations, administrative proceedings, and court cases.
- Oversee dispute-related procedures such as insurance notifications, document production, litigation holds, status reporting, and budget oversight.
- Support internal investigations and the review of case materials for relevant facts and documentation.
- Assist in notifying insurers of claims and maintaining records of carrier contacts and communications.
- Provide regular updates to insurance providers on case progress, developments, budgets, and upcoming deadlines in coordination with supervising attorneys and external counsel.
- Organize the gathering and sharing of pleadings, discovery materials, invoices, and other documents requested by insurers, while respecting confidentiality and privilege rules.
- Monitor defense spending and collect coverage-related data for internal analysis and reporting.
- Support the processing and tracking of subpoenas and third-party requests for records or discovery.
- Review and help draft responses that comply with legal standards, internal policies, and privacy requirements.
- Coordinate the collection and production of documents with internal departments such as IT, Human Resources, and Compliance.
- Communicate with issuing authorities and agencies regarding the scope and timing of responses under attorney supervision.
- Maintain detailed records and reports for subpoenas, records requests, and related outputs.
- Participate in document review activities, including assessing relevance, confidentiality, and privilege concerns.
- Identify and flag potential confidentiality and privilege risks and assist in preparing privilege logs when necessary.
- Support the execution and management of legal holds, including tracking acknowledgments and working with data custodians.
- Monitor key deadlines, court filings, and matter timelines, escalating issues as appropriate.
- Contribute to refining workflows, templates, and litigation management systems.
- Work with compliance, operations, human resources, and business units to collect information, coordinate responses, and deliver practical legal guidance.
- Help prepare regular reports on litigation trends, risks, and outcomes for internal leadership.
