Responsibilities
- Ensure all services align with established policies, regulations, contractual terms, and operational standards.
- Review and recommend approval of vendor invoices in compliance with management agreements, company policies, and authorized spending limits.
- Support Property Managers in preparing and submitting accurate monthly reports and budget materials by client deadlines.
- Help gather data and draft tenant rent, CAM reconciliations, and operational expense recovery charges.
- Collaborate with lease administration and accounting teams on lease setup, modifications, and reporting using internal or client systems.
- Support coordination of tenant move-ins and move-outs, conduct space walkthroughs, and keep vacant units tour-ready.
- Address tenant concerns and ensure timely resolution by administrative and technical building staff.
- Manage contract documentation, purchase orders, and procurement records; assist with vendor deliveries and service coordination.
- Support procurement through bidding processes and vendor selection activities.
- Verify accuracy of tenant billing and assist with aging report reviews and collection follow-ups.
- Assist in conducting routine property inspections; suggest maintenance, repairs, or upgrades; liaise with contractors as needed.
- Help develop emergency response plans, ensure backup resources are available, and support training drills and preparedness activities.
- Contribute to team effectiveness by executing assigned tasks proactively and suggesting improvements to workflows and systems.
- Support client communication efforts and ensure reports are accurate, timely, and complete.
- Perform additional tasks as directed by management.
