Responsibilities
- Manage ongoing bookkeeping in QuickBooks Online, covering transaction classification, general ledger updates, accounts payable and receivable, and recurring journal entries.
- Record adjusting entries such as accruals, prepayments, deferrals, and amortization schedules.
- Perform monthly reconciliations of bank and credit card accounts with well-documented support.
- Facilitate a precise and timely monthly close and generate financial statements for review.
- Apply U.S. GAAP standards and nonprofit fund accounting principles, including tracking of restricted and unrestricted funds.
- Maintain organized close files, reconciliation documentation, and audit-ready reports for internal and external stakeholders.
- Document standard accounting procedures and assist in enhancing internal controls as the organization scales.
- Develop, manage, and revise the annual operating budget and scenario models for a nonprofit with a $2.5 million+ budget.
- Produce monthly variance analyses comparing budget to actual results, identifying key cost drivers and trends.
- Update rolling financial forecasts and cash flow projections to inform leadership on future financial positioning.
- Create and monitor grant-specific and program-level budgets and associated financial reports as required.
- Analyze the financial implications of new programs, staffing changes, and strategic initiatives; collaborate with budget managers to maintain fiscal discipline.
- Generate clear, actionable financial reports and dashboards for executive and board-level decision-making.
- Identify potential financial risks and cost-saving opportunities early, offering practical solutions.
- Collaborate with external CPAs, auditors, and tax preparers by supplying schedules, reconciliations, and explanations as needed.
- Support the annual audit and IRS Form 990 filing by preparing documentation and maintaining complete, organized records.
- Ensure all accounting records, workpapers, and reporting outputs are transparent, well-documented, and audit-ready.
